Accessing promo stats
What are promo stats?
Promo stats show you how recipients are engaging with your music releases. Trackdrop provides stats for all of your promos, so you have an overview of how each promo is performing with:
Email Delivery - Whether your promo emails reached recipients.
Opens - How many people opened the email.
Views - How many people clicked the link and visited the promo page.
Plays - How many times tracks were played.
Downloads - How many files or full releases were downloaded.
Where to find your stats
Log in to your Trackdrop account
Click on Promos in the left navigation menu
If you’re a member of more than one organization, click the dropdown beneath the Trackdrop menu on the left and select your team.
Check the Sent promos tab and click on any published promo to view its detailed statistics.
Note: Draft promos don't have stats yet since they haven't been sent to anyone.
Stats summaries
When you click to view a published promo, you'll see a summary at the top with four key metrics:

Emails sent
Shows how many emails were successfully delivered out of the total number of emails sent.
Example: Emails sent (of 7): 7 means 7 emails were delivered to recipients out of 7 total contacts.
Average open rate
The percentage of recipients who opened your promo email.
Example: "100%" means 7 out of 7 recipients opened the email.
Industry context: Music industry email open rates typically range from 20-40%, so anything above 50% is excellent engagement!
Plays
Total number of times your tracks have been played by your recipients.
Example: "11 plays" - this counts every time someone presses play on any track in your release.
Downloads
Total number of tracks downloaded from your promo, counted as individual files.
Example: "2 downloads" - only appears if you enabled downloads for this promo.
Viewing detailed promo stats
Below the stats summary, you'll see two tabs:
Activity list
Shows a chronological feed of all events - every email delivered and opened, visits to the promo page, and plays and downloads of your tracks. This is great for spotting patterns in engagement timing and monitoring recent activity.
Audience status
Shows a detailed table of every recipient with their individual engagement. This view includes the following information for each contact you opted to send the promo to:
Name/Email - Who was sent the promo
Country - Where they listened from (with flag emoji)
Activity Status - Their highest level of engagement:
Important: A recipient's status shows their highest level of engagement. Someone shown as "Downloaded" has also opened, viewed, and played - it just shows the most significant action they took.🔴 Bounced - Email failed to deliver (eg. the address is incorrect or their mailbox is full)
🟡 Delivered - Email delivered but not opened yet
🟢 Opened - They opened the email
🔵 Viewed - They visited the promo page
🟣 Played - They listened to tracks
⬇️ Downloaded - They downloaded files (highest engagement!)
Plays - Number of times this person played tracks
Downloads - Number of files this person downloaded
We’ve included powerful filtering options, so you can hone in on which and how many contacts are engaging with your promos:
Search by name or email
Filter by status - e.g., show only people who downloaded. You can select multiple statuses.
Filter by country - e.g., show only UK listeners. You can select multiple countries.
Sort by any column - find your most engaged listeners by sorting by plays or downloads.
Example uses:
"Show me everyone who downloaded" → Filter status to "Downloaded"
"Who played my music the most?" → Sort by "Plays" column (descending)
"Which recipients in Australia engaged?" → Search "Australia" and filter by country
Tips for getting the most out of your stats
1. Check your open rates
If your open rate is lower than expected, recipients might not be recognizing you. Consider:
Using a clearer artist/label name.
Checking if contacts are still active, and updating their email addresses as needed.
2. Monitor play vs. download rates
High plays, low downloads → People are previewing but not committed.
High downloads → Strong interest! They want to keep your music.
3. Geographic Insights
Use the country filter to:
Identify where your music is resonating.
Target future promo campaigns to engaged regions.
Understand your international reach.
4. Follow up with engaged recipients
Sort by plays/downloads to find your most engaged contacts - these are great people to:
Send future releases to first.
Ask for feedback or testimonials.
Build stronger relationships with.
5. Track timing patterns
Keep an eye on the Activity tab to see when people engage:
Do plays spike in the morning or evening?
How quickly do people respond after you send?
Use timing insights for future release schedules.
Common questions
Q: How often do stats update?
A: Stats update in real-time! You'll see changes within seconds of someone engaging with your promo. No need to refresh the page.
Q: Can I export stats to a spreadsheet?
A: Currently, stats are viewable in Trackdrop. You can use the filters and sorting to analyze specific segments of your audience.
Q: Why is my open rate different from delivered count?
A: Open rate is calculated as: (Opens ÷ Delivered) × 100. It only counts delivered emails that were actually opened, so it's a percentage rather than a raw count.
Q: Someone played my track 50 times - is that accurate?
A: Yes! Play counts include every play action. If someone loops a track or listens multiple times across different days, each play is counted.
Q: What if someone's status is "Bounced"?
A: This means the email couldn't be delivered - usually due to an invalid email address or full inbox. Consider verifying or updating their contact information.
Q: Can I see which specific tracks someone played/downloaded?
A: The current stats show total plays or downloads per recipient. If you have multiple tracks, all track plays or downloads contribute to the overall promo count, and it’s not currently possible to view this per-track. If monitoring plays and downloads for a specific track is a priority, consider sending a promo with a single track.
Q: Why don't I see download stats on my promo?
A: Download stats only appear if you enabled downloads when creating the promo. If you set it to "Streaming Only", the downloads column won't be shown.
